Privacy
Rutland Street Church keeps people safe. To do that we keep a small amount of information. We keep as little as we can, we only use it for safety, and we do not sell it or share it for marketing.
What we keep and for how long
- Safety reports and hazards you send us: what happened, where and when, and your name and contact details if you choose to give them. You can report without giving your name. Reports are kept as a safety record. A report of a serious event that must be notified to WorkSafe is kept for five years, as the law requires.
- Contractor sign-in: name, company, phone, email and the job. Kept for 12 months, then deleted automatically.
- Venue hire requests: name, organisation, phone, email and the booking. Kept for 24 months, then deleted automatically.
- People who serve: name, role, and the dates of police checks and training. We keep the dates, not the results of any check, and no birth dates, addresses or licence numbers.
- Policies you sign as read and understood: your name, role and the date.
- Fire drills and evacuations: the date, how long it took and the wardens’ names. Kept for 36 months.
- Photos you attach to a report, if you choose to attach any.
We do not keep a list of children, or medical, health or dietary details about anyone.
Who can see it
Only the church’s safety coordinator, elders and website administrators, who are signed in. Notices about new reports are emailed to the safety team without the details of the report.
Where it is kept
On this website, on the church’s own web hosting. Nothing is sent to other organisations by this safety system.
Your rights
You can ask to see the information we hold about you, to correct it, or to have it removed. Some safety records must be kept for a set time; where that applies, we remove your contact details and keep the rest.
Please ask a church leader.
